Exchange of hosting server for sites

A colleague of mine wants to move his site to the server that hosts my sites. What I would like to know is what do I really need for this exchange to be made? The agency that owns the site, domain and hosting it should change the DNS to my server, correct? If so, do you run the risk that at any time they change that dns causing a drop in the site? What can be done to prevent this from happening? What's more, my colleague owns the emails through gsuite, so a domain exchange is not feasible because he has many clients. I would need both the domain and the hosting to be under my responsibility and not that the other company had any kind of access or link after the exchange.

It should rather point the domain to your server.

This is a virtually "right" risk. When you point the domain to your server, it will have a propagation time which is typically up to 72 hours. This propagation is happening gradually and can be released before in certain regions.

  

What can be done to prevent this from happening?

Keep a replica of the site on the old server and do not suspend it until the propagation stops. Remember that the database must be the same for both servers. Therefore, if the site is on the same (current) server, the new site must point to the old server database. When you pass the propagation time, simply migrate your database and reconfigure the new server with that database. So you'll only stay with the site under maintenance while you're just migrating ...
